The rules for using Claros as a clinical practice-management workspace.

Agreement to these terms
These Terms of Service govern access to and use of Claros. By creating an account, accepting an invitation, or using the service, you agree to these terms on behalf of yourself and, if applicable, the practice or organization you represent.
Professional use
Claros is a workspace for qualified psychology and mental-health professionals to organize practice administration. Claros does not provide therapy, medical advice, diagnosis, emergency response, or professional supervision.
You are responsible for your professional judgment, client relationship, documentation standards, notices, consents, recordkeeping, licensing, and compliance with laws and ethical rules that apply to your practice.
Accounts and access
- You must provide accurate account and practice information.
- You are responsible for keeping credentials secure and for activity under your account.
- You may not share access with unauthorized people or use Claros for a practice you are not authorized to manage.
- You must notify us promptly if you believe your account or client records may have been accessed without authorization.
Client and patient records
You retain responsibility for the records and content you enter into Claros. You must have a valid basis to collect and store client information, including any health-related or special-category information.
Claros should not be used as an emergency communication channel, crisis line, or sole source of legally required records unless you have confirmed that it meets your specific professional and legal requirements.
HIPAA and regulated health information
Unless Claros has entered into a written business associate agreement or equivalent written health-data terms with you, Claros is not offered for storing protected health information in a HIPAA-regulated workflow. You are responsible for determining whether HIPAA or similar health-data laws apply to your use.
Acceptable use
- Do not attempt to bypass security, access another workspace, or disrupt the service.
- Do not upload malware, unlawful content, or content you do not have the right to process.
- Do not use Claros to make automated decisions that create legal, clinical, or similarly significant effects without appropriate human review.
- Do not resell, scrape, reverse engineer, or misuse Claros except where mandatory law allows it.
Integrations and AI features
Optional integrations, including calendar, invoicing, export, and AI-assisted features, are enabled only when configured by the user. Third-party services may have their own terms, privacy notices, limits, and availability.
AI-assisted summaries or suggestions are support tools only. You must review, edit, and approve any generated content before relying on it professionally or adding it to a client record.
Availability and changes
We aim to provide a reliable service, but Claros may be unavailable for maintenance, updates, outages, security reasons, or events outside our control. We may update, add, or remove features as the product evolves.
Fees and subscriptions
If paid access applies, pricing, billing cycles, taxes, cancellation rules, and renewal terms will be provided at sign-up or in a separate order, invoice, or subscription notice. Unpaid early-access features may change or end.
Suspension and termination
You may stop using Claros at any time. We may suspend or terminate access if these terms are violated, payment is overdue, security is at risk, or continued use would create legal or operational risk.
Disclaimers and liability
Claros is provided on an “as is” and “as available” basis to the extent allowed by law. We do not promise that Claros will meet every professional, legal, clinical, or regulatory requirement for every practice.
To the extent allowed by law, Claros is not liable for indirect, incidental, special, consequential, punitive, or lost-profit damages. Mandatory legal rights and liabilities that cannot be excluded remain unaffected.
